Invite a teammate

Last updated: October 2, 2026 By Aron Baczoni

Quick Reference

Inputs

The email address of the person you want to add, which must have a Google Account behind it, and the role you want them to have: Member or Business Admin.

Outputs

A single-use invitation link that expires in 7 days, emailed to the person and shown in the dialog for you to copy, one reminder email about a day before it expires if it is still unclaimed, plus a faded Invited row in Organization Memberships until the person accepts.

Outcomes

Your colleague signs in to the same business under their own Google Account and sees the same numbers you do; a Business Admin can also change connections, costs and rules, while a Member can only read.

An invitation is how you give a colleague access to your MarginOS business. Click Settings in the left sidebar, stay on the User Profile tab, and scroll to Organization Memberships. Click Add User next to your business, enter the person’s email, choose Member or Business Admin, and MarginOS creates a single-use link that expires in 7 days and emails it to that person. The dialog shows the link as well, so you can also copy it and send it another way.

What an invitation does

Everything in MarginOS belongs to a business: one brand’s store connection, its costs, its settings and its profit history. An invitation adds a person to that business so they see the same numbers you do, signed in under their own account.

An invitation is not an account, and it is not a password. It is a one-time link tied to a single email address and a single role. Until your colleague opens it and signs in, they sit in your member list as a faded row with a dashed border and an Invited badge. Once they accept, that row turns into a real member with their name, their photo and their role badge.

You can belong to more than one business. Organization Memberships lists every one you have access to, with an Active badge on the business you are currently working in. Add User only appears next to the businesses where you are an admin, so what you can invite into depends on the business, not on your account overall.

Before you start

  • You need to be a Business Admin of the business you are inviting into. If you are not, the Add User button is not shown at all, and opening Settings gives you Access Restricted. Advanced Configuration requires admin privileges. Please contact your tenant administrator to access this feature.
  • Check the email address is a Google one. MarginOS signs people in with Google, so the invitation can only be accepted from a Google Account on that exact address. A personal Gmail address and a Google Workspace address both work. An address with no Google Account behind it cannot accept the invitation at all.
  • Decide the role first. The role is written into the link at the moment you create it. Changing your mind afterwards means revoking the invitation and sending a new one.
  • Tell your colleague to expect an email from Aron at MarginOS. If it does not arrive, ask them to check their spam or junk folder first. If it is not there either, revoke the invitation and send a new one, or copy the link from the dialog when you create it and send it to them yourself.

Invite someone

  1. Click Settings in the left sidebar. The page header reads Account Setup and it opens on the User Profile tab.
  2. Scroll down to Organization Memberships, described on screen as Organizations and team members you have access to.
  3. Find the business you want to add someone to, and click Add User on that row. A dialog opens, headed Invite a user to join followed by your business name.
  4. Type the person’s address into Email address.
  5. Under Role, choose Member or Business Admin. Member is preselected.
  6. Click Send Invitation. The button reads Sending… while MarginOS creates the link and emails it.
  7. The dialog changes to Invitation Sent, with the note We emailed the invitation to followed by the address, and You can also copy the link below.
  8. If you also want to send the link yourself, in a chat message for example, click Copy and paste it. Then click Done to close the dialog.
  9. Check the member list. Your colleague now appears with an Invited badge and the time remaining underneath, for example expires in 7 days.

If the email cannot be sent, the invitation is still created and works the same way, but the dialog reads Invitation Created instead, with the note We couldn’t email it. Copy the link below and share it directly with the user. It will expire in 7 days. Click Copy and send the link yourself before you close the dialog.

If MarginOS cannot create the invitation you get an Invitation failed message with the reason. The two you are most likely to see are User already has access to this organization and An active invitation already exists for this email. If you create a lot of invitations in a short time, MarginOS also refuses new ones for a while, so wait and try again.

What each part of the panel means

What you see What it means
Add User Opens the invite dialog for that business. Shown only on businesses where you are an admin.
Active badge The business you are currently working in. The others are businesses you also belong to.
Email address Who the invitation is for. It must match the Google Account they sign in with, or the link will refuse them.
Member Can read the business. Cannot open Account Setup or Express Setup.
Business Admin Can read the business and change how its numbers are produced: connections, costs, rules, and who else has access.
Send Invitation Creates the link and emails it to the address you entered.
Invitation Sent The email has gone out. The link is shown too, with Copy, in case you want to send it another way.
Invitation Created and Copy The link is ready but the email could not be sent. Copy it now and send it yourself. This is the only moment it is shown to you.
Invited badge on a faded row A link has been created for this address but nobody has accepted it yet. No account exists yet.
expires in … How long the link has left. After that it stops working and the row disappears from the list.
Shield icon next to Business Admin Marks the admins at a glance, so you can see who can change settings.
(you) Your own row, highlighted so you do not mistake it for someone else.
Bin icon on a row Revoke a pending invitation, or remove a member. Only admins see it, and never on their own row.

What Member and Business Admin can each do

MarginOS has two roles, and the line between them is narrow but important: it is about who may change how the numbers are produced, not about who may see them.

A Business Admin can open Account Setup, which is what the Settings link in the sidebar leads to. That means connecting and disconnecting data sources, editing cost assumptions and business rules, running Express Setup, and inviting or removing other people. An admin is the only role that can change what MarginOS treats as true.

A Member reads the business. They sign in with their own Google Account, open the dashboards and read every report and drawer. Two screens are closed to them. Clicking Settings shows Access Restricted. Advanced Configuration requires admin privileges. and Express Setup shows the same Access Restricted notice, worded Express Setup requires admin privileges.

A useful rule of thumb: give Business Admin to the people who are accountable for the accuracy of the numbers, such as you, a co-founder or a finance lead. Give Member to everyone who needs to read the numbers but should not be quietly redefining the costs underneath them, such as an agency or a marketing hire.

Example

A coffee brand has one MarginOS business. The founder wants two people in it: a bookkeeper who will keep the cost assumptions honest, and a media buyer at an agency who needs to see channel performance but must not touch anything.

She opens Settings, scrolls to Organization Memberships, and clicks Add User. She enters the bookkeeper’s Google Workspace address, sets Role to Business Admin, and clicks Send Invitation. The dialog shows Invitation Sent, and MarginOS emails the bookkeeper her link.

She repeats the same steps for the media buyer, this time leaving Role on Member. He lives in Slack, so she also clicks Copy and drops the link into their shared channel.

The member list now shows two faded rows, one for each address, both badged Invited and both showing expires in 7 days. The bookkeeper opens her link that afternoon, signs in with the matching Google Account, and her row becomes a real member with her photo, her name and a Business Admin badge carrying a shield. The media buyer is on holiday and never opens his link. The day before it expires MarginOS emails him one reminder, which he also misses, so a week after the invitation his row quietly disappears from the list.

A month later the founder checks the panel and sees herself, the bookkeeper, and nobody else. That is the correct reading: the media buyer never joined.

FAQ

Does MarginOS email the invitation for me?

Yes. When you click Send Invitation, MarginOS emails the link to the address you entered, and the dialog confirms it with Invitation Sent. The email comes from Aron at MarginOS and has an Accept invitation button. If the email cannot be sent, the dialog reads Invitation Created and We couldn’t email it, and you copy the link and send it yourself.

Will my colleague get a reminder?

Yes, once. If the invitation is still unclaimed about a day before it expires, MarginOS emails one reminder with the same link. No reminder goes out for an invitation that was accepted or revoked, or to someone who has already joined the business.

Can I invite someone who does not use Gmail?

Only if there is a Google Account behind their address. MarginOS signs people in with Google, so the invitation is accepted through a Google sign-in on that exact address. A Google Workspace address at your own company domain works exactly as well as a personal Gmail one. An address with no Google Account behind it cannot be used, so ask your colleague which Google address they want to use before you send anything.

What happens if the link expires before it is used?

It stops working, and the faded Invited row drops off your member list. If you then try to invite the same address again and MarginOS answers An active invitation already exists for this email even though you cannot see that person anywhere in the list, you have hit a known limitation rather than a mistake of your own. Contact support and we will clear the stale invitation for you.

Can I change a role after someone accepts?

Not from this panel. The role is fixed into the invitation when you create it and carried over when your colleague accepts. To move someone between Member and Business Admin, remove them with the bin icon on their row and send a fresh invitation with the role you want. Removing someone leaves all of the business data untouched, and you can re-invite them straight away.

What if I sent the invitation to the wrong address?

Click the bin icon on that faded Invited row and confirm Revoke Invitation. The link stops working immediately, and MarginOS tells you the person can no longer use it. Then send a new invitation to the right address.

Why does MarginOS say the user already has access?

Because that email is already a member of this business. Scroll the member list and you will find them, usually further up because admins are sorted to the top. If they say they cannot get in, the problem is a sign-in one rather than an access one.

My colleague says the link will not let them in. What went wrong?

Almost always they are signed in to the wrong Google Account. MarginOS checks the address on the invitation against the address they signed in with, and refuses the mismatch with a message naming both. Ask them to sign out of Google, sign back in with the address you invited, and open the link again.

Can a Member see all of our revenue and cost numbers?

Yes. A Member sees the same dashboards, reports and drawers an admin does. The role controls who can change the setup, not who can see the results. If someone should not see your margins at all, do not invite them.
